How FlexR Works
FlexR has modular solutions for the full customer journey, from Marketing and Sales through electronic on-boarding, billing, card management, reporting and customer retention.
Automated customer onboarding
Customisable Sales Website
FlexR can provide an optional fully customisable website, including an electronic application form. Our websites are designed to optimise SEO and are top performing customer-converting websites in the industry. Training and local NZ tech support is provided, including a full sales website build.
Online Applications
If you have an existing sales website, streamline your application process using a FlexR customised online application form, with prospective customer information flowing directly into the FlexR portal (and your CRM or accounting package if applicable). Save on data entry time as FlexR will capture and store all submitted data. The application form is integrated with the NZ Companies Office, NZBN Register and NZ Post for accurate loading of business details and addresses. FlexR also has built a raft of proprietary fraud and identity theft checks.
Integrated Credit Checking
FlexR is integrated with Centrix and CreditWorks to provide comprehensive credit checks on prospective customers. With the click of a button, you can run checks on sole traders and companies (including affiliated companies) so you can quickly see the creditworthiness of your customers. You also benefit from FlexR’s proprietary fraud and identity theft detection algorithm, which automatically analyses each application submitted and alerts you to possible fraud and/or identity theft.
Automated Customer Communication
FlexR automates the messaging to your customer right from starting their application through to approving or declining their application. These include:

A number of reminders are sent if they start but don’t submit their application form

A pdf copy of their application form that contains the data they submitted, their agreement to your terms of trade and a copy of the direct debit authority (if applicable)

A “Welcome” or “Sorry” email is sent when your customer service either accepts or declines an application. These can be edited/personalised at the time they are sent if required.
Customer Portal
FlexR is a fully customisable solution, including a self-service portal for your customers. It typically is provisioned on your website as a ‘Portal login’ button that will transfer them to the portal.[YourDomain].co.nz, which is hosted by FlexR. Roles and permissions allow you to determine how much a customer can do, from purely “read-only” access to full unrestricted access to ordering/suspending/cancelling cards, changing card limits and downloading reports and invoices.
FlexR is configurable to present your brand colours and logo on all the customer facing elements, including invoices, emails, fuel cards, and self-service portal.
FlexR is fully customisable; we can adjust the standard package to meet your requirements. Centralised Card Management
Centralised Fuel Card Ordering and Management
FlexR manages the fuel card ordering and management process with four major fuel suppliers: BP, Mobil, Waitomo and Z. Once a customer has passed your vetting process, you can use the FlexR Cards module to order the requested cards and have them delivered to your office or direct to your customer. You can also change card details, suspend, or cancel cards, change PINs, and undertake bulk card orders, suspends and cancellations for each customer – do it all in the FlexR portal. You will never need to log in to another fuel company portal again.
Fuel Card Delivery Management
FlexR manages and tracks the fuel card delivery process to the customer’s door. From an auto-generated CourierPost label, to live updates on the delivery status including final delivery confirmation – all the details are tracked and stored against each card record.
Customer Communication Management
Communicate directly with your customers using the integrated Email and SMS module within the FlexR portal. Keep track of customer requests within their account. Get instant notifications when new requests or replies are received and action/reply all to them all in the one place.
Customer CRM
FlexR allows you to track and manage your customer service experience. Add notes to customer accounts, flag important details, add tasks for further action and access to customer activity history. Update customer details, add cost centres, change PIN numbers, payment options and fuel card details.
Accounting & Invoicing
Fuel Transaction Management & Billing
FlexR automatically imports all incoming customer transactions from fuel suppliers daily (and in real time for some) and automatically re-bills them in one easy invoice. The invoicing is fully automated and can be configured to run daily, weekly, fortnightly or monthly depending on what terms you offer your customers. FlexR handles customer payments by direct credit, direct debit or credit card. Customer accounts can have optional hard credit limits imposed with automatic account and card suspension when the limit is exceeded, and email or text messages sent informing them of their suspended account and how to correct.
Pricing and Promotions
Create your own pricing structures and apply to customer groups, including a range of pricing plans & discount promotions, which can activate/deactivate automatically based on your specifications. FlexR can handle various pricing structures such as Cost Price Plus, National Price List Less and Off Pump Price.
Full Reporting Suite
Comprehensive Reporting
The FlexR Data Factory and Data Lake hosted in Azure makes accessing and manipulating your data easy with access to helpful tools such as Power BI to run comprehensive reports, adjustable reporting options specific to each customer, and automated customer reports emailed directly to specified recipients.
E-Alerts
FlexR has a variety of automated eAlert emails that your customers can opt in to receive. These include when they have spent over 80% and/or 100% of their monthly card limits, multiple transactions in one day, non-fuel purchases, transactions made outside of business hours (user-definable), and when cards are due to expire.
Integrated Customer Surveys
Create customised surveys to send to your customers. These can be automatically sent when a specified action is done (like creating or cancelling an account) or sent with digital marketing campaigns. Responses are collated in the FlexR Surveys module for easy reviewing of the data.
Security
FlexR is built in the Microsoft Azure cloud stack, using Azure services. Designed with modern software development techniques, FlexR benefits from Azure’s built-in security services that include unparalleled security intelligence to help identify rapidly evolving threats early so you can respond quickly. The FlexR solution includes a layered defence and in-depth strategy across identity, data, hosts, and networks.
